With a Legal Answering Service, specialized virtual legal receptionists answer your inbound calls and handle them just like an in-house receptionist: qualifying leads, scheduling appointments, processing payments, taking messages, and more. Will I need to get a new phone number for the Legal Answering Service?

Nope! You can keep your number.

We will provide you with a phone number to forward your calls to. You choose when and for how long you want calls to be routed to your new team of Virtual Legal Receptionists.

Can you provide me with a phone number if I need one?

We can! We are happy to provide you with a phone number in your area code or the area code of your choice (depending on availability) for your legal answering services.

You are welcome to provide this number directly to your clients and publish it on your website and anywhere else you choose.

How do I forward my phone calls to Back Office Betties?

For most phone providers, forwarding your phone calls to your new law firm virtual receptionists will be as easy as dialing a code from your phone. If you need help, we are here for you!

Is there a discount for bundling the Legal Answering Service and Virtual Legal Assistant Services?

There sure is!

You’ll receive a 5% bundle discount on both plans when you bundle Back Office Betties Legal Answering Service and Virtual Legal Assistant services.

How do you calculate plan minutes? Is time rounded up?

We believe in transparent pricing. Your minutes will never be rounded up.

That means:

If your virtual receptionist takes a call that lasts for 2 minutes and 45 seconds, we record that call as 2.75 minutes and charge you accordingly.

If your virtual assistant spends 25 minutes and 30 seconds on a task, we record that time as 25.5 minutes and charge you accordingly.

What happens if I go over my plan's minutes or hours?

Additional time is prorated at your plan’s per-minute rate as needed. Discounts are available for higher volume plans.

Plus – You’re not locked into the same plans forever.

For example: if you know you’ll need more time for a project in the future, you can switch to a higher hourly plan temporarily.

Does time roll over into the next month if I don't use it all?

Unused time does not roll over month-to-month.

Your call scripting is completely customizable! We will work with you to develop a foolproof call flow blueprint for your law firm. Whether that means starting from the ground up, offering suggestions, or implementing scripts you already have in place.

What information can my Virtual Legal Receptionists collect from potential new clients?

Your Virtual Legal Receptionists can collect any information you need, just like an in-house receptionist.

Every law firm is different. Every case type is different. Your legal receptionists will happily complete custom intakes for each and every case type your law firm handles.

What hours is the Legal Answering Service available?

Monday–Friday, 5 AM–5 PM PT.

After-hours calls will be directed to your voicemail and those messages will be delivered to your email for your convenience. If you'd like us to check your voicemail each morning and return those calls, we're happy to do so!

Do you offer bilingual answering services?

Yep! We have a team of bilingual Spanish-speaking Virtual Legal Receptionists available at no additional cost.

Can my Virtual Legal Receptionists make outbound calls?

Absolutely! Your team of Virtual Legal Receptionists is happy to contact clients, leads, or colleagues to relay or gather information, schedule consultations, collect payments, answer questions, and more.

Can my legal answering team cancel or reschedule my clients' appointments for me?

Yes, your team of virtual legal receptionists can modify existing appointments in Acuity, Calendly, and SetMore. Just give us your login information or create a new username and password for us when you sign up!

How does Back Office Betties integrate with Clio Grow?

Back Office Betties integrates with Clio Grow to automatically deliver every new qualified lead right into your Clio Grow inbox! Custom intake questions and case notes are attached to each new lead. Receiving new client intakes has never been easier.

How many Virtual Legal Assistants will I have?

Most commonly, one. However, the more, the merrier!

We'll match you with the Virtual Legal Assistant who is most qualified for your needs. If you have a diverse range of needs or want more than a full-time assistant, we will happily match you with however many assistants you require.

What if I don't like my Virtual Legal Assistant?

No worries! Back Office Betties' proprietary VA matching service ensures that you'll be matched with a Virtual Legal Assistant who understands your terminology, has experience with the work you need to be done, and is available during the hours you need them.

However, if it isn't working out for any reason, we'll happily match you with a new Virtual Legal Assistant ad no additional charge.

You'll never be understaffed again.

How often will I communicate with my Virtual Legal Assistant?

It's up to you. But it's important to establish your communication expectations from the start.

We require our Virtual Legal Assistants to respond to tasks and correspondence within one business day. If you need quicker turnaround, let us know when signing up. We will communicate your expectations to ensure you're matched with the optimal VA for your law firm!

Regular check-in meetings can be scheduled between you and your VA if you'd like to go over weekly plans and goals, but you can reach out to your Virtual Legal Assistant at any time.

How quickly will my Virtual Legal Assistant complete tasks?

Completion time is dependent on the task and your Virtual Legal Assistant's workload.

We require our Virtual Legal Assistants to respond to tasks and correspondence within one business day.

Keep in mind, our freelance VAs are independent business owners and masters of juggling a variety of tasks and clients. Most of our VAs will have more than one client to consider, so expressing project deadlines and your desired turn around time is essential.

Can my Virtual Legal Assistant place outbound calls for me?

Absolutely. Your Virtual Legal Assistant services are separate from your Legal Answering Service (if you have both).

Any time that your Virtual Legal Assistant spends on the phone will not be deducted from your Virtual Legal Receptionist minutes.

Can my Virtual Legal Assistant help me with personal tasks?

Yes!

In addition to supporting attorneys and law firms, Back Office Betties’ virtual assistants are happy to help with personal tasks such as scheduling doctor appointments, ordering gifts, coordinating family events, making travel arrangements, and more!
